How do I connect my email account?
When you first open Sotto, you'll be guided through a setup wizard. Click "Sign in with Google" or "Sign in with Microsoft" to connect your account. Sotto supports Gmail and Microsoft 365 (Outlook). It requires full access to your email and calendar to function as a complete client — including reading, sending, organising, and managing messages and events on your behalf.
Can I connect multiple accounts?
Yes. Go to Settings and click "Add Account" to connect additional accounts. All accounts appear in a single unified inbox, with colour-coded dots to identify which account each email belongs to.
How does email classification work?
Sotto uses a multi-tier classification system. First, it checks if a thread has already been classified. Then it applies your sender rules and keyword rules. For emails that don't match any rules, Sotto uses AI (Anthropic's Claude) to categorise them. You can customise categories, add rules, and override any classification.
Is my email data sent to external servers?
Your email and calendar data is stored locally on your computer. For AI classification and search, email content (sender, subject, body) is sent to Anthropic's Claude API for processing. Sender domain names are sent to logo.dev for company logos. Real-time push notifications pass through a stateless relay that uses your email address for routing but never sees message content. GIF searches in the composer are sent to Giphy. Crash reports (technical error information only, never email content) are sent to Sentry. Calendar data syncs via Google Calendar API or Microsoft Graph API and is stored locally. No email content is stored on any remote server operated by Sotto. See our privacy policy for full details.
How do I revoke Sotto's access to my email?
You can disconnect your account within Sotto's settings, or revoke access directly from your Google Account permissions page or Microsoft Account permissions page. Uninstalling Sotto also removes all local data and encrypted tokens.
Does Sotto work without an AI key?
Yes. Without an Anthropic API key, Sotto still syncs and displays your email. Classification falls back to your sender rules, keyword rules, and thread inheritance. AI-powered features (smart classification and AI search) require an API key, which you can add in Settings.
Where is my data stored?
All email data is stored in a SQLite database in the application's data directory on your Mac (typically ~/Library/Application Support/). OAuth tokens and API keys are encrypted using macOS Keychain via Electron's safeStorage.
How do I clear my local data?
In Sotto's settings, use the "Clear Cache" option to remove all locally stored email and calendar data. This does not affect your email provider — emails and events remain safely on Google's or Microsoft's servers. After clearing, Sotto will re-sync on next launch.
How does calendar integration work?
Sotto syncs with your Google Calendar or Microsoft 365 calendar when you connect your account. You can view your schedule in month or week view, create and edit events, and drag to reschedule. Sotto also provides meeting intelligence — it detects meeting recordings and notes from your emails and links them to the relevant calendar event. A next-meeting widget in the sidebar shows what's coming up. Calendar data is stored locally on your device.
How do I sign and return a document?
When you receive an email with a PDF or DOCX attachment that needs signing, use the Sign & Return feature to open it in a signing window. You can add your signature, initials, dates, and text annotations. Your signatures are saved for reuse. Once signed, Sotto converts the document to PDF (if it was DOCX) and attaches it to a reply email. All signing happens locally on your device — no document content is sent to external servers.
What can I do in the composer?
Sotto's composer includes a rich text editor with tables, lists, task items, and full formatting. You can @mention contacts, pick GIFs from a built-in library, edit images (crop, draw, text, filters), manage email signatures, and use templates. Drafts auto-save as you write. BeforeSend rules check for common mistakes — wrong recipient, missing attachment, sensitive content — before your email goes out.
How do I find attachments across my emails?
The Attachments view shows every attachment from all your emails in one place. You can filter by type — documents, spreadsheets, images, presentations, links, archives, and code files. Search by filename or browse the grouped display. Click any attachment to jump to the original email thread.
